What is an apostille notary and when do I need one?
An apostille is an internationally recognized certificate that authenticates a document so it can be legally accepted in a foreign country. You need an apostille notary any time a U.S. issued document must be used abroad in a country that is a member of the Hague Apostille Convention. Common situations include international employment, immigration applications, studying abroad, international adoption, and overseas property transactions.
What is the Hague Convention?
The Hague Convention of 1961 is an international treaty that simplified how documents are authenticated across borders. Countries that have signed the convention agree to accept apostilles as proof of a document’s authenticity, eliminating the need for embassy or consulate legalization in most cases.
What if my document is going to a country that is not a Hague Convention member?
If your destination country is not a Hague Convention member, an apostille will not be accepted. Your document will require a different type of authentication called embassy legalization, which involves notarization, state authentication, U.S. Department of State certification, and then legalization through the destination country’s embassy or consulate. Call us and we will confirm which process applies to your situation before you move forward.
What types of documents can be apostilled?
Common documents include birth certificates, marriage certificates, death certificates, divorce decrees, powers of attorney, FBI background checks, federal court documents, diplomas, university transcripts, corporate documents, and contracts. How long does the apostille process take?
For Nevada issued documents, processing can be as fast as one hour or up to five business days depending on urgency. For documents issued in other states, processing time varies by state. Federal apostilles through the U.S. Department of State can take up to 14 weeks or longer and there is no expedited option available at the federal level. We will give you a realistic estimate for your specific document before anything is submitted.
Does the apostille processing time differ for documents from other states?
Yes. Every state has its own timeline and process. Nevada offers some of the fastest turnaround times available. For out of state documents we coordinate with the appropriate Secretary of State and can give you an estimated timeline based on your document’s state of origin.
What federal documents do you commonly handle?
The most common federal documents we work with are FBI background checks, Certificates of Naturalization, and DD-214 military discharge documents. All federal apostilles are processed through the U.S. Department of State rather than any state Secretary of State.
How do you handle apostille services for clients in other states?
For clients outside Nevada, we coordinate the process remotely. Once the notarization is confirmed and completed, we guide you through exactly where your document needs to go and what the submission process looks like for your specific state and document type.

Do all documents in an international adoption file need to be apostilled?
Not necessarily. Some documents are accepted in their notarized form depending on the agency and destination country. Others require apostille certification. The specific requirements depend on where your documents were issued and which country you are adopting from. We review your file and confirm what each document needs before anything is submitted.
What is the difference between a Hague adoption and a non-Hague adoption?
A Hague adoption involves a country that is a member of the Hague Apostille Convention and follows standardized documentation requirements. A non-Hague adoption involves a country that is not a member and requires a different authentication process. We identify which applies to your specific case before anything moves forward.
Which documents in an adoption file typically require notarization before apostille submission?
The most common documents that require notarization before apostille submission include birth certificates, marriage certificates, FBI background checks, home study reports, financial verification documents, medical clearances, and powers of attorney. FBI background checks specifically require federal apostille processing through the U.S. Department of State rather than a state Secretary of State. What if a document in my adoption file has already been rejected?
If it was notarized by us, you won’t have a problem. We have completed 300+ notarizations with zero rejections. However, if you went elsewhere and it got rejected, bring it to us before resubmitting. We will review what went wrong from a notary standpoint, confirm what the document actually needs, and make sure the notarization is correct before it goes out again. One incorrect document can stall the entire process and we want to make sure that does not happen twice.
How far in advance should I contact you for adoption document notarization?
As early in the process as possible. Many adoption timelines are tight and there is no benefit to waiting. The sooner we review your documents the more time you have to address anything that needs to be corrected before deadlines become a factor.

What should I have ready prior to my notary appointment?
Your unsigned documents and a valid government issued photo ID such as a driver’s license, state ID, or valid passport. Do not sign your documents beforehand. The notarization requires that signatures be witnessed in person at the time of the appointment. If witnesses are required for your document, let us know when you schedule so we can coordinate accordingly.

Foreclosure Surplus Funds Recovery
A separate service offered outside notary and apostille work
This is a separate service we offer outside of notary and apostille work. If your property was sold at a foreclosure or tax sale and generated more than what was owed, you may be entitled to those remaining funds. Many homeowners never claim them simply because they do not know they exist.
What are surplus funds and how do I know if I have them?
Surplus funds are the money left over after a foreclosure or tax sale generates more than the amount owed to creditors. These funds legally belong to the former property owner in most cases. We run a free search using public records to determine whether funds may be available for your property.
How much does this service cost?
There are no upfront costs. We only get paid if funds are successfully recovered on your behalf. If nothing is recovered, you owe nothing.
Are there time limits for claiming surplus funds?
Yes. Deadlines vary by state and by the specific circumstances of the sale. Reach out as soon as possible so we can confirm whether funds are available and whether you are still within the claims window.
